Live calls + existing recordings
How to record Zoom audio, transcribe it, and make notes
Start with a live Zoom call or a recording you already have. This guide takes both routes through to a timestamped transcript, a summary, and meeting notes you can share.
macOS 13+ and Windows 11 · 7-day trial · One-time purchase after the trial
Before you start
Complete MeetingDebrief setup and download a transcription model and a summary model. Run a short test with both your voice and another participant’s audio.
Tell everyone you are recording and get the required permission. Follow your organization’s recording rules. MeetingDebrief captures audio separately from the meeting app; do not rely on that app’s recording indicator.
Start with the call or the recording
My Zoom meeting is about to start
Use MeetingDebrief to capture your microphone and Zoom’s audio as you attend. You get a local recording to transcribe and summarize, without adding a participant to the meeting.
I already have a Zoom recording
Use the audio-only M4A or the MP4 file. There is no need to replay the whole meeting through your speakers; import the file and let MeetingDebrief process its audio.
Zoom also has its own recording and transcription tools. Its computer recording feature saves M4A audio and MP4 video, and requires host recording privileges. Zoom’s separate meeting transcript feature has host controls and a text export. Choose Zoom’s tools when you need a record managed within Zoom; the steps below create a separate local record in MeetingDebrief.
How to record a live Zoom call
- Join with audio on your computer. Use the Zoom desktop app or browser on the same Mac or PC as MeetingDebrief. A call you hear only through a separate telephone will not reach the computer’s audio capture.
- Open MeetingDebrief’s Audio settings. Choose your microphone under Input Device, use Test Microphone, and turn on Include system audio. On Windows, match the system audio device to the speaker or headset output used by Zoom. On macOS, grant the system audio recording permission requested during setup.
- Start the recorder. Once participants have agreed to recording, click Start Recording in MeetingDebrief. Check a short test recording with speech from both sides before relying on this setup for a full meeting.
- Stop when the conversation ends. Ending Zoom does not replace stopping the separate recorder. With Auto-transcribe after recording enabled, the final transcription starts automatically. Otherwise, open the session and select Transcribe.
How to transcribe an existing Zoom recording
Locate the actual recording file on your computer. Zoom’s computer recording output includes an audio-only M4A, which is a useful starting point when you only need words and notes. A Zoom sharing URL is not an audio file.
- In MeetingDebrief, click the upload button beside Start Recording.
- Select the M4A or MP4 file. MeetingDebrief creates a new session and processes the audio.
- Let automatic transcription run, or open the session and click Transcribe.
- Review names, figures, and dates in the transcript. Use timestamps to check unclear passages against the saved audio.
An imported mixed recording does not contain the same separate microphone and system-audio sources as a live capture. Do not assume it will identify each Zoom participant. See transcription and speaker labels for the current behavior.
Turn the Zoom transcript into meeting notes
Open the session’s Summary section, choose General for a recap or Action Items for follow-ups, and click Generate. You can create both summaries from the same transcript.
Check that an action has an explicit commitment behind it. “We could ask Maya” is not the same as Maya agreeing to do the work. Confirm owners and dates, then use the pencil to edit the summary and Copy to move it into your follow-up email or shared document.
Use the separate Notes section for your own context, such as an agenda link or a decision explained on a slide. Audio transcription cannot recover information that was never spoken. If you correct the transcript, regenerate any summary marked as out of date.
If the Zoom recording is missing a voice
- You are missing: check MeetingDebrief’s selected microphone and microphone permission, even if Zoom can hear you.
- Everyone else is missing: check system audio capture and, on Windows, the selected output device. Recheck after connecting a Bluetooth headset.
- A section is missing: check when you started, paused, and stopped the recorder. Transcription cannot recreate audio that was never captured.
Keep the test short and repeat it after changing devices. The troubleshooting guide covers permissions and processing problems.
